Programme Administrator  


REDR UK AND THE WORK WE DO
Every year, hundreds of millions of people around the world are affected by natural disasters and conflict. RedR UK is an international disaster relief charity which saves lives by giving aid workers the vital skills they need to do their jobs to the highest possible standard. We train thousands of people each year in everything from providing emergency shelter to staying safe in the field, from project management after emergencies to essential water and sanitation skills and more. 
The Enterprise Programmes team is responsible for delivering demand-led services globally; providing tailored capacity building support to organisations and their partners through individual or framework contracts, and delivering RedR’s global Open Training Programme; planning and delivering a calendar of training events that meet the needs of individuals operating in the humanitarian sector.
As a Programme Administrator in the Enterprise Programmes team, you will be responsible for specific tasks to support the effective delivery of our demand-led services. You will work closely with the programme coordination team globally, and will take responsibility for specific administrative and logistical components required to deliver our events. 
MAIN DUTIES AND RESPONSIBILITIES
Be responsible for specific tasks to support the delivery of RedR UK's demand led services, including:
Participant communication
  • Maintain a good knowledge of the services offered by the Enterprise Programme to respond effectively to individual and organisational enquiries by telephone and email 
  • Be the first point of contact for participant enquiries, bookings and payments, processing these according to the established systems
  • Create specific Open Programme events on Eventbrite, Salesforce and RedR UK website, under the direction of the Programme Coordinator
  • Prepare visa support letters as required, for signature by the Programme Coordinator
  • Prepare pre-course information and ensure this is shared with participants
Trainer liaison and logistics
  • Make travel and accommodation arrangements are in place for trainers and resource people on Open Programme events, under the direction of the Programme Officer
  • Share electronic versions of event materials with trainers on Open Programme events, under the direction of the Programme Coordinator
  • Prepare visa support documents for trainers, as required
  • Support the organisation of Associate Trainer assessments including communication with applicants, identification of volunteer participants, and documenting processes and results
Materials preparation
  • Prepare and maintain course materials boxes for Open Programme events, ensuring materials are fully compiled and available for trainers on time, including shipping if required
  • Proof read training material as required, and ensure RedR UK brand guidelines are consistently applied
  • Procure workbooks and ship to required locations for Open Programme events
Course support
  • Ensure all Open Programme events are listed on the shared room bookings calendar and that any changes are updated immediately 
  • Maintain the training environment, resource libraries, and set up training rooms, breaks and lunches 
  • Prepare welcome packs, name badges, signature lists, certificates and other resources as required and ensure these are in place for the relevant time of the event
  • Respond to trainer and participant requests during the event, as required
  • Open/close the office as required 
  • Provide on-site course support during or throughout learning events, as required
Monitoring and evaluation
  • Contribute to the departmental monitoring and evaluation system by: 
  • Collating and recording course statistics and evaluation data
  • Maintaining accurate Salesforce records for Open Programme events
  • Assisting with the collection and recording of impact assessment data
Other tasks as reasonably requested by the Programme Coordinator. 
Person Specification
Essential
  • Systematic and efficient administrative skills, including an ability and willingness to prioritise, manage and complete a wide variety of tasks against multiple deadlines. 
  • Strong communication skills and ability to work with people at all levels and from all backgrounds. 
  • Ability to establish and maintain systems for managing and tracking information is an advantage. 
  • Excellent attention to detail and an eye for maintaining document appearances and branding. 
  • Proactive, enthusiastic and problem-solving approach to new challenges. Self-motivated, able to work independently. 
  • Good MS Office skills, especially in the use of Outlook email, Word, Excel, Publisher and the internet. 
  • Willingness and ability to work flexible hours including occasional evenings, early mornings, or weekends, if required. 
  • Fluency in English and Arabic (written, reading, and verbal). 
Desirable 
  • Experience in the use of SalesForce, Survey Monkey and/or Web content management software 
  • Interest or experience in humanitarian and international development sector, and/or interest in Learning and Development.
  • Experience working with data bases.
For the successful candidate RedR UK will be able to offer: 
  • Monthly salary JOD 908.33
  • 23 paid annual leave days per annum, rising by 1 day for each year of service completed.
