The main responsibilities include:
 Performing a full range of office management and administrative support functions
providing direct assistance, as requested by supervisor to staff within the
department/division; monitoring the schedule/s of supervisor/s and arranging for meetings
and appointments; screening visitors and telephone calls;
 Managing the flow of department/division documents and facilitating effective access,
tracking and retrieval of such documents by the division staff;
 Responding to and drafting responses to a wide range of correspondences and other
communications as requested by supervisor and officers in the department/division, using
standard word processing packages to produce a wide variety of documents and reports;
 Providing support to committees, ad hoc tasks forces, etc., drafting and circulating agenda
notes to members/participants, drafting minutes of meeting, organizing workshops and
conferences and monitoring follow-up actions;
 Assisting in the preparation of the budget; recording and monitoring expenditure against
allotted fund, ordering supplies for departmental/divisional use and supervising
distribution, maintaining inventory records of supplies and preparing survey reports as
required;
 In support of department/division, coordinating with concerned parties on all HR matters,
including new appointments, separations, overtime and letters;
 May act as a focal point for Reach support services and provide first line assistance to
users in the department/division; draft and operate Micro Purchase Order, Purchase Orders
and Requests Service Entry Sheet as requested; assist in preparation of the technical
reports, complies, analyses and verify statistical data.
Conditions of service
Option One: Fixed Term Appointment, Grade 10
Monthly basic salary JD 598.30. Other benefits include monthly Provident Fund contribution
(15% of basic salary paid by the Agency), compulsory medical insurance, 30 days of annual
leave, and dependency allowance (if applicable).
Option Two: Limited Duration Contract (LDC- Band D)
Monthly basic salary starting from JD 649.20 depending on the professional knowledge and
experience. Other benefits include compulsory medical insurance, 30 days of annual leave prorated to the duration of the contract where less than one year, and family allowance (if
applicable).
To qualify for this position, you will need:
Education Successful completion of full secondary education;
Successful completion of two-year post-secondary course in business and
office practice or related discipline recognized by the Agency; Very good
skills in using Microsoft Office;

Four years of relevant experience in administrative work;
