Office Assistant


International Business & Technical Consultants, Inc. (IBTCI), a U.S. based international development consulting
company established in 1987, has worked in over one hundred countries and implemented over two hundred
projects. IBTCI serves government agencies, private sector companies and several donor agencies. IBTCI
specializes in Monitoring & Evaluation (M&E) across many sectors including, but not limited to, conflict and
crisis, democracy and governance, economic growth, education, environment, and global health.

Overview:
IBTCI seeks an experienced Office Assistant to support the Yemen Monitoring, Evaluation, and Learning Project
(YMELP). The period of performance is one (1) year with the possibility of extension.

Essential Duties/Tasks and Responsibilities:  
ADMINISTRATIVE / HR / LOGISTICS

  • Paying the bills of the utilities as appropriate.
  •  Assist F& A in any procurement tasks.
  • Monitor and maintain office equipment and inventory of supplies
  • Assist F& A Manager in booking hotels or arranging transportation for business guest.
  •  Assist F& A Manager in arranging events for the office as appropriate.
  • Follow up with the hired car and driver in terms of readiness of the car, car log and car use plan.
  •  Messenger for office related stuff that don’t need the Finance/Admin Manager to go by themselves such as to bank.
  • Do any copy/scanning tasks to assist the finance/admin staff.
  • Help the admin staff in preparation of resident/work permits as appropriate.
  • Check all safety equipment at the office and ensure its readiness.
  • Fix minor and routine defects in the offices that don’t need the involvement of the landlord such as changing bulbs etc.
  • Coordinate building and maintenance issues with landlord
  •  Buying the monthly supplies such as hygiene materials, beverages etc.
  •  Do some hospitality preparations when there are formal guests to the two offices.
  •  Taking care of the hygiene of both offices.
  • Any other duties that may be assigned by F&A Manger or COPs.
Required Knowledge, Skills and Abilities:
  • Arabic fluency
  • Basic communication skills in English.
Minimum Requirements:
  • Three (3) years of administrative work experience
Education:  Secondary education or equivalent

Working Environment: Work is typically performed in an office environment.


Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift
small objects up to 20 lbs.


Supervisory Responsibility: This position does not have supervisory responsibilities.


Work Authorization: Candidate must be authorized to work in Jordan. (For Jordanian Nationals Only)
