Sales Support Associate


الوصف الوظيفي

POSITION PURPOSE:The Sales Support Associate provides proactive support to sales team on all activities related to technical projects, in addition to overseeing sampling activities in the company.  Responsibilities include supplier communication management, sales support and general technical projects management. PRINCIPAL ACCOUNTABILITIES:In addition to following Target Chemicals’ policies and procedures, principal accountabilities include, but are not limited to: PROJECT SAMPLES LIFECYCLE MANAGEMENT ROLE:
  • Initiate communication with the supplier for any new sample request under sales team
    supervision.

  • Coordinate with sales team to send the following items to the supplier for complex ingredient samples before sample request: Product to match (for reference), ingredient mix for matching, detailed project request, production process.

  • Coordinate with sales team to send a required feedback to the supplier for arguments / solution to encountered problems in case of defective samples.

  • Maintain a feedback loop between the sales team and the supplier until sample is approved by the client or the project is terminated.

  • Support sales team in all tasks and activities related to sampling and technical projects,
    providing technical know-how when needed.

  • Create a “Project Sheet” for each requested sample for tracking purposes.

  • Update CRM following all client-related sampling / technical project activities.

  • Follow up with supplier till receiving requested samples.
 TECHNICAL & CLIENT SUPPORT ROLE:
  • Act as the product specialist between Target Chemicals and its existing and potential markets.

  • Introduce clients to existing/ new products and ensure product knowledge at the clients’ team is updated on a regular basis.

  • Conduct onsite one-on-one and group presentations / trainings when and where needed.

  • Answer queries related to products and their technicalities.

  • Ensure queries are being solved in a timely manner with a successful outcome.

  • Effectively manage queries to build a reputation of excellent service and promote loyalty.

  • Retain patience and understanding while handling technical inquiries day after day.

  • Collaborate with multiple internal departments (sales, order fulfillment, logistics, claims)to drive the highest level of client satisfaction.

  • Respond to complaints from customers and give after-sales support when requested.

  • Store and sort financial and non-financial data in electronic form and present reports. 
 SAMPLE RECEIPT, PREPARATION AND TRANSFER ROLE: 
  • Coordinate at sample documentation reception with a clearing agent to handle the clearance process, and in liaise with logistics if needed and sign off on received documents & invoices.

  • Record all received samples information on the system.

  • Sort received samples by product line & ensure samples are handled with care and temporarily 
    stored at the right conditions before transfer to Client.

  • Prepare a reference letter pertaining to the sample along with a unique reference number for the project and forward the sample to the relevant Sales Team member for final transfer to client. 
 DATABASE UPDATING ROLE: 
  • Prepare the “Samples Request Form” and “Samples Letter” for any new requested sample.

  • Upon sample receipt from supplier, create “Sample Info Sheet” for more information on the sample.

  • Update “Sample Delivery Sheet” upon sample delivery to client.

  • Maintain and update all information and records related to incoming and outgoing samples, Client information and project details.

  • Record all claims & complaints on CRM system.

 LAB MANAGEMENT ROLE: 
  • Maintain lab organized and make sure proper hygiene standards are being maintained, and make sure all equipment are clean and placed in the assigned locations.

  • Maintain and update ledger for samples & equipment.

  • Track samples, lab tools & equipment movements on ledger and make sure all movements within the lab must be recorded & signed up on ledger by sales person (Tool/Equipment Name, Reference No., Sample Name, In Date, Out Date).

  • Conduct quarterly & annually stock audit and sign up all reports/ records & they should be signed up by Sales Support Associate, Sales Support Coordinator & BDM once completed.

 SALES SUPPORT ROLE:Assist all sales account managers, portfolio managers, BDM, GM & executive assistant with sales & non-sales support requirements ensuring superior customer excellent experience, and the support role includes the below highlighted tasks, but it’s not restricted to:
  • Commercial communications such as RFQ request, PO request, technical inquiries & any needed requirements.

  • Claims feedback, documentation support, sampling feedback & prototype development.

  • Marketing support (assist in the preparation and organizing of promotional material or events).

  • Provides timely & accurate data and reports to the sales team: sales reports, stock movement, samples & projects status, and product life cycle analysis.
