Administrative Assistant
The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Responsibilities
- Handle and coordinate active calendars with CEO and departments
- Perform all administrative duties as well as day-to-day admin operations of the office.
- Schedule and confirm meetings, and take meeting minutes
- Ensure file organization based on office protocol
- Provide ad hoc support around office as needed
- Answer and route telephone calls.
- Meet and greet factory visitors and provide them with assistance, hospitality and needed directions if needed.
- Organize and maintain files, records and documents logs of projects and clients
- Process incoming and outgoing mail in different format (regular mail, emails, courier).
- Maintain confidentiality of documents and information received.
- Handle all official travel arrangement (booking tickets, accommodation and transportation) for employees when needed.
- Use computer and software applications to accurately type and edit basic correspondence; enter data; retrieve data; search databases; create documents; and send emails, memos and letters
Job Requirements
· Diploma in Business Administrative or any related filed.
· 1-3 years experience in secretarial and office management field.
· Fluent English and Arabic spoken and written is essential
· Strong communication and interpersonal skills.
· Knowledge of word processing and spreadsheet software.
· Phone reception.
· Business writing.
· Ability to communicate effectively.
