1- HR Senior Officer

Scope of Work:
The Senior Human Resources (HR) Officer, in coordination and under supervision of HR Coordinator, will be responsible for the end to end HR function in the country office in cooperation with other HR personnel’s, including but not limited to: contracting, on-boarding, performance monitoring, HR administration tasks, filing and documentation based on best practice standards and in compliance with the local legal procedures and the International Medical Corps human resource policies.
The Senior HR Officer will also maintain legal compliance of the organization and to foster and maintain a positive and productive work environment for International Medical Corp’s human resources.
The Senior HR Officer should be able to perform this job successfully with minimal supervision.
 

Tasks & Responsibilities:
  • To liaise and coordinate with the HR Coordinator all work related matters.
  • To make sure to work in full coordination and cooperation with the HR Team.
  • To comply with & enhance the team work spirit in the department and the organization.
  1. Provide technical assistance for field offices in Area of HR and conduct field visits when necessary. 
  2. In cooperation with the HR Coordinator and finance department, work on monthly allocation revision.
  3. To ensure that the payroll and all associated benefits are reviewed an issued accurately and on a timely basis while maintaining strict confidentiality at all times.
  4. Process consultants’ invoices and documents in coordination with their line managers and finance team on a timely basis.
  5. To coordinate with HR Coordinator on maintaining all HR records, policies and updated procedures in place, and properly translated.
  6. In cooperation with the HR Coordinator, to liaise with International Medical Corps Lawyer to ensure compliance with labor law, follow up and finalize all legal issues, maintaining an updated legal record.
  7. Takes active part in meetings when HR coordinator is not available (ex: HR forum) and represent the organization appropriately.
  8. Ensure proper entry and regular updates of all employees’ information and HR data in the system along with the assigned HR team members.
  9. Assist in providing coordination between the Human Resources department and other departments in the organization as seen necessary. 
  10. Follow up on staff relations and internal investigations as recommended by HR Coordinator.
  11. To assist in reviewing and issuing all PRs, CoSs, and job descriptions, and making sure of using consistent position titles, and follow up on regular updates of titles and job descriptions.
  12. To assist in providing HR trainings and orientation sessions when required for IMC staff or partners in different locations.
  13. Prepare monthly summary by collecting information from the team on: performance evaluation issues, exit interview concerns, turnover rate, and total number of staff.
  14. To review and confirm that all mandatory trainings for new hires are completed and properly placed on file.
  15. To do monthly random checks on new hires files and makes sure they are properly done and as per the policies and procedures. 
  16. Ensuring that all HR activities are carried-out in compliance with International Medical Corps internal policies and the local laws.
  17. Field visits to International Medical Corps camps and urban areas. 
  18. Act as backup person during the absence of any HR team members.
  19. Perform other duties as assigned by Supervisor. The duties and responsibilities listed are representative of the nature and level of work and are not necessarily all inclusive.

Skills & Qualifications:
Bachelor degree in Business Administration, Social Sciences or other field.
Minimum four years of experience in related field.
NGO/INGO background is preferable
Excellent knowledge in Jordanian Labor Law
Excellent communication skills in both Arabic & English languages

2-  Finance Assistant

ESSENTIAL DUTIES AND RESPONSIBILITIES
Scope of Work:
• Maintain the filing system for the Finance Department (filing and file listing).
• Maintain the appropriate backup (translations, dates, stamps, etc.) for the Payment Voucher.
• Assist in Payments’ preparation and writing checks.
• Prepare the monthly finance scanned copy with all related appendixes.
• Responsible of entering data to the Accounting System (Cost Point) on daily basis under the direct supervision of the Finance Admin Coordinator.
• Assist in solving Test of Transaction (TOT) issues and send them to Auditor.
• Perform other duties as assigned by Supervisor.
Qualifications:
• Minimum of a college or university degree in Accounting or Business Administration; or related department.
• Minimum 1 year experience in a non-profit organization or equivalent experience, training and education Extensive experience in working with computerized accounting systems
• Comprehensive knowledge and working experience with USAID, EU, DFID, GAC and other donors
• Strong writing and presentation skills
• Fluency in English and Arabic
