1- Project Coordinator

Job Title : Project Coordinator  Department : Programmes Dept

ORGANISATIONAL PURPOSE:
Islamic Relief Jordan is a country branch of Islamic Relief Worldwide. Islamic Relief Worldwide is an internationally recognized charity (Charity No.: 328158), looking back on nearly 30 years of experience in humanitarian and developmental aid. It was founded in 1984 in Birmingham, UK, in response to the devastating famine in the Horn of Africa. Since then, Islamic Relief has grown into a charity that is active worldwide, putting development projects, emergency aid, and rebuilding projects into action in over 28 countries around the world.
Islamic Relief Jordan (IRJ) began its operations in 1997 with orphan’s sponsorship, sponsoring hundreds of orphans living in Jordan. IRJ extended its programs to seasonal projects with Ramadan and Qurbani distributions and In-Kind donations. IRJ has established strong partnership with international non-governmental organization and local one’s strengthening the overall response to the Syria crisis. At the onset of Syria humanitarian crisis in late 2011, IRJ provided emergency response to those affected by violence in Syria and has since then scaled up its capacity and operations with number of 110 staff across the country.
Job Purpose: 
The purpose of the Project Manager (PM) position is to provide overall management and coordination for ensuring the implementation and accomplishment of the objectives of the project under his/her responsibility in line with IRJ vision.  In coordination with the supervisor and in collaboration with the project staff she/he develops implementation plans, Budget and operations plans, allocates appropriate resources to accomplish the plan, secures qualified staff and ensures that an appropriate monitoring system is in place to track progress and deviations of project implementation
KEY RESPONSIBILITIES:
  • Apply development best practices to the activities contributing to project objectives related to IRJ’s strategic vision.
  • Participate in the development, and implementation of programmes and projects related.
  • Ensures that project under his/her supervision include an appropriate log-frame and baseline design;
  • Contribute in ensuring all projects are following international and humanitarian standards.
  • Responsible for the reporting requirement from donors and ensure the reports are made on time.
  • Reviews relevant documents and reports, identifies problems and issues to be addressed and proposes corrective actions.
  • Compile the narrative reports and ensure submission as per the deadline.
  • Participate in writing proposals for institutional and internal donors of high-quality standards.
  • Organizes a monitoring system to collect baseline and periodic data for tracking project performance and decision making;
  • Provide information and documentation on specific project.
  • Provide the required documentation to other department’s specially MEAL department, and ensure the full documentation for all the projects per IRJ standards.
  • Ensure the programme team are committed to the reporting structure and implementing the logical framework.
  • Carry out such other related duties as may be assigned or required from time to time.
  • Plans and conducts monthly, quarterly and annual project review meeting to assess progress, adjust plans, and draw/disseminate lessons learned;
  • Ensure that all project staff have appropriate individual operational plans linked to project priorities.
  • Consolidate and analyse data on program implementation, achievements and indicators in all sectors under area of responsibility in order to facilitate the preparation of periodic reports and activity-specific reports as may be required and ensure timeliness of such reports.
  • Builds the technical and managerial capacity of the field staff in planning and implementing projects effectively and efficiently
  • Manages budgets including monthly reviews of expense reports.
  • Create reports for donors in compliance with specific donor requirements. Make efforts to enhance donor satisfaction by ensuring quality reporting on programmatic results to donor.
  • Research/analyse, interpret and also, monitor and review information and data from regular and wide variety of sources for internal and external reporting.
  • Implement audit recommendations applicable to the project
  • Engage in communication with other IRJ project managers to ensure consistent information sharing and collaboration across IRJ projects.
  • Take a lead role in facilitating timely, quality administrative support function delivery in the time of emergency response.
KNOWLEDGE, SKILLS AND ABILITIES

Qualifications: 
  • A minimum of five years of demonstrated experience in related work in reporting on program implementation and results. Must be familiar with Microsoft Office, have native-level writing skills in English and Arabic, and have experience in writing reports on short deadlines.
  • Experience in the use of MS Word, PowerPoint, databases, the Internet and electronic media applications is required.
  • Experience working with an international non-governmental organization and knowledge of reporting procedures, best practices, guidelines and tools for communications.
  • Minimum of a bacheloreos degree in public health, media and social media, or equivalent combination of education and work experience, or any development or humanitarian related subjects;
Core humanitarian competencies:
  • Understanding of humanitarian contexts and principles:
  • Good understanding of humanitarian issues, with experience of/or ability to work directly with local NGOs or communities.
  • Sympathy with the aims and objectives of organization and a commitment to humanitarian principles and the Red Cross and INGO's code of conduct.

Job Purpose:
Islamic Relief World Wide-Jordan Office is implementing several projects in education, resilience, protection, and rehabilitation, the reporting officer is responsible for drafting, collecting, and organizing all the data and information collected from the projects, and draft internal/external required reports, including the weekly plans, annual and semi-annual reports, follow-up on the projects documentation, and ensure the proper archiving for all programs department documentation.
KEY RESPONSIBILITIES:
  • Develop infographics, interactive charts and other communication material as needed.
  • Participate in the development, and implementation of programmes and projects related.
  • Responsa bile to follow-up with programme staff to submit all needed reports on time and with high quality.
  • Contribute in ensuring all projects are following international and humanitarian standards.
  • Responsa bile for the reporting requirement from donors and ensure the reports are made on time.
  • Reviews relevant documents and reports, identifies problems and issues to be addressed and proposes corrective actions.

  • Carry out such other related duties as may be assigned or required from time to time.
  • Submit monthly Situation Reports, quarterly indicator reports, annual reports and other narrative reports as assigned by the programme department.
  • Support in desk research tasks, and developing concept notes.
  • Consolidate and analyse data on program implementation, achievements and indicators in all sectors under area of responsibility in order to facilitate the preparation of periodic reports and activity-specific reports as may be required and ensure timeliness of such reports.
  • Draft regular daily, weekly and monthly up-date for internal and external audience (including donor).
  • Prepare briefing kits and presentations for missions and visitors.
  • Create reports for donors in compliance with specific donor requirements. Make efforts to enhance donor satisfaction by ensuring quality reporting on programmatic results to donor.
  • Research/analyse, interpret and also, monitor and review information and data from regular and wide variety of sources for internal and external reporting.
  • Prepare and distribute minutes of meetings.
  • Translate reports and project documents from Arabic to English and from English to Arabic.
  • Review quality of all English version final reporting products prior to release.
KNOWLEDGE, SKILLS AND ABILITIES
