HR and Admin Officer (National Position)

Overview:

NRC currently has more than 2,000 staff in the Middle East region assisting people displaced by conflict in Syria. As a leading humanitarian organization, we support displaced persons by implementing programs across the Shelter, Education, Food Security, Information Counseling and Legal Assistance (ICLA) and Water, Sanitation and Hygiene (WASH) sectors with strong protection and resilience focus integrated into our programs. In the Middle East, NRC has over 3000 staff dedicated to assisting people affected by the conflict in Jordan, Syria, Lebanon, Iraq, and Palestine. Its humanitarian interventions are based upon its programming expertise in the Core Competencies of Shelter, Education, Water and Sanitation Hygiene, Food Security, along with Information Counselling and Legal Assistance (ICLA) to forcibly displaced people.  The Syrian Crisis is well into its eight-year, but the level and intensity of conflict in the country remain high.  Humanitarian and protection needs continue to grow inside of Syria as a result of the ongoing conflict and consequent complex emergency situation in which displacement is both massive and widespread.  

Our Ideal Candidate:

We are seeking a motivated professional individual to join our Syria Response Office’s operations. The ideal candidate must have a Minimum of 3 years of HR relevant experience, a minimum of 1 year of Experience from working in a humanitarian/recovery context or equivalen. Along with previous experience in remote management and from working in complex and volatile contexts. Also. The candidate must be fluent in both Arabic and English, both written and verbal with an intermediate level in Microsoft Office (applications, mainly excel and word. The candidate must be a Bachelor’s Degree holder.

Specific responsibilities-General office administration management and implementing office policies SOP.
-Ensure proper maintenance of office equipment and stationery, scheduling repairs through logistics department whenever necessary.
-Supervise cleaning staff and prepare their schedule.
-Provide assistance with local procurement, in accordance with NRC procurement procedures and thresholds, including obtaining quotations, handling cash purchases under 350 JOD, and receiving deliveries to the SRO Amman Office.
-Assist with stock management at the SRO Amman Office
 -Develop and maintain an accurate database of Admin documents and HR related documents including national staff information (both hard and soft copies)Any other general administrative and logistics assistance as directed by line management.
- Follow up on all related personnel management, staff database, access control, timesheets, and attendance, leave balances, performance management, and documentation to ensure compliance of filing using hard copy personnel files and e-filing
-Follow up on the required and mandatory training for all staff carry out all HR functions such filing of personnel files, assists in preparation of staff payroll, timely review of attendance sheets, process staff leave requests, keeps leave records updated on monthly basis and communicates to the main office on request
-Maintenance of the guesthouses equipment, supplies, review of the comments, and complaints.
-Prepare contracts for new staff and Daily worker and track on contracts extension 
-Follow up the monthly documents for the staff (Timesheet, Salary Slip) and updated to box for Amman and field staff.
-Assist in HRMS assignment implementation 
-Attend all meetings assigned by the line manager and prepare periodic HR reports
-Provide support and Coordinate national staff recruitment and inductions
-Assist in training of NRC staff and partner staff when needed
-Provide transportation of NRC staff on request
-Ensure adherence to national labor law in all HR processes and procedures
-Carry out and follow up on the implementation of the exit procedure for all national staff including clearance, discharge process, final settlement, etc.; and follow up on the exit interview completion with the HR Coordination
-Fulfill any other HR-related tasks that may be assigned by the line manager.
