Introduction:
WADI for Sustainable Ecosystems Development NGO – Watershed and Development Initiative is a local NGO established in December 2018 under the Ministry of Environment and is currently implementing the Watershed and Development Initiative (WADI Project) in Jordan. The vision of WADI is “Healthy Watersheds Managed by Resilient Communities”, and its Mission is to restore forests and rangelands for climate resilience, community livelihoods, and long-term water security”.
WADI is seeking applications for a qualified individual to serve as Operations Coordinator based in Amman, Jordan.
Reporting to the NGO Director, the incumbent will be responsible for daily administration of project support activities, through well-maintained and appropriate office systems.
The position’s specific responsibilities and tasks are as following:
• Provide executive and administrative support to NGO Director
• Prepare and manage the NGO Director’s schedule of appointments, including arranging official appointments, receiving visitors, and making travel arrangements
• Develop and maintain networks and relationships with internal and external stakeholders
• Organize representational functions as and when needed
• Manage and coordinate visits, consultants, and overseas visitors including program preparation and logistical support
• Undertake required research and provide advice to the NGO Director as needed
• Coordinate periodic meetings with WADI project partners, including drafting project partnership agreements
• Draft reports, letters, contracts, and agreements
• Translate letters and documents from English to Arabic and vice versa
• In charge of the office petty cash
• Take charge of the NGO’s procurements including preparation of RFPs, publicizing requests for quotations, and bid analysis
• Prepares purchase requests including preparation of specifications for goods and services
• Ensure all NGO human resources are managed and dealt with appropriately and that HR files and databases are maintained for all employees and consultants.
• Assist the NGO Director for all tasks related to HR for the office and projects: recruitment, hiring staff or consultants, labor contract issuance.
• Review staff monthly timesheets and monitor daily staff attendance.
• Assist the NGO Director in developing HR, administration policy and procedures. Monitoring the compliance and update changes.
• Liaise with government as assigned and with other local authorities about any issues related to the NGO.
• Assist the NGO Director and other teams/staff in daily administrative routine, ensuring the smooth running of office and projects.
• Ensure logistics procedures are followed in accordance with procurement guidelines, including collecting quotations, preparing Purchase Request Forms and Purchase Orders.
• Any other duties assigned by the Director.
Qualifications
The successful candidate must have:
• A Bachelor’s degree in business administration or a related field
• Minimum 5 years of related experience is preferable
• Excellent computer skills (Outlook, Excel, Word, PowerPoint)
• Ability to accurately handle petty cash
• Excellent organizational and time management skills
• Ability to work independently, prioritize tasks and to take initiative.
• Strong interpersonal and communication skills
• Detail-oriented
• Positive “can do” attitude
• Excellent interpersonal skills
• Exercise discretion in handling sensitive and personal information
• Ability to work under pressure within a team
• Fluency in English and Arabic (spoken and written)
Job Location: Amman, Jordan
Eligibility:
