Project Assistant - Amman

Location : Amman with frequent travel o North

Islamic Relief Jordan is a country branch of Islamic Relief Worldwide. Islamic Relief Worldwide is an internationally recognized charity, looking back on nearly 30 years of experience in humanitarian and developmental aid. It was founded in 1984 in Birmingham, UK, in response to the devastating famine in the Horn of Africa. Since then, Islamic Relief has grown into a charity that is active worldwide, putting development projects, emergency aid, and rebuilding projects into action in over 30 countries around the world.

Islamic Relief Jordan country office is seeking to hire the following position:
Project Assistant in Amman Location with ability to travel to north and south area’s under the overall guidance of the Health Project Officer.

Major Responsibilities:
 The Project Assistant will be responsible for:

  1. Ensuring well organized and safe filing for the projects files and data.
  2. Make sure that all assessments are entered to the system 100% accurate.
  3. Conduct home visits for beneficiaries upon request and follow-up with beneficiaries for feedback.
  4. Make analysis including figures, statistics, and reporting as per project manager request
  5. Responsible to distribute the items in line with donor and Islamic Relief policy.
  6. Conduct administrative, logistical, and financial duties related to all aspects of project implementation.
  7. Maintain effectively communication system and ensure information flow between project and relevant parties.
  8. Responsible for beneficiaries’ files, registration, and organization of work flow.
  9. Support the project team to reach targeted beneficiaries.
  10. Submit weekly, and monthly reports.
  11. Ability to manage financial and cash requirements for the project.
  12. Responsible for supervising projects in progress and ensures that all issues related to the projects are clarified and completed to avoid confusion and interruption during execution of projects.
  13. Keep track of all activities, and ensure that all activities are in line with plans, in order to meet up with deadlines.
  14. To ensure the accuracy of information provided to the manager.
  15. Ability to write quality reports and submit on time
  16. To participate in sectorial working groups meetings. Establish network with other NGO’s and CBO’s.
  17. Proficiency computer skills is highly required especially MS. Word and Excel.
  18. Ability to manage relationships with other stakeholders and perform high quality mobilization activities such as but not limited to coordination with CBO’s for medical days.
  19. Fulfill any other tasks appointed by the project Officer.
     

SKILLS AND COMPETENCE

Technical skills and experience:

  • Strong problem solving skills
  • Proven expertise and understanding of emergency preparedness and response issues with a relevant technical competence in emergency needs assessment and implementation.
  • Good field experience in emergency and development programme management, preferably with non-government organizations.

Core humanitarian competencies:

  • Understanding of humanitarian contexts and principles:
  • Good understanding of humanitarian issues, with experience of/or ability to work directly with local NGOs or communities.

Achieving Results effectively:

  • Very good time management abilities.
  • Very good judgment and problem-solving skills
  • Very good decision-making

Developing and maintaining relationships:

  • Very good verbal and written communications skills and the ability to relate to people from all backgrounds.
  • Consistently approaches work with energy and a positive, constructive attitude.

Managing yourself in a pressured and changing environment:

  • Demonstrated ability at being flexible and adapt to changing situations.
  • The ability to remain calm while dealing with conflicting priorities and working under pressure.

Operating safely and securely in a humanitarian response:

  • Relevant experience in implementing security policy/protocols.

EDUCATION:  

  • Bachelor degree in any field of knowledge preferably (business administration, sociology, medical background)
  • Minimum one-year experience in NGO’s or medical associations.

Languages:

  • Very good spoken and written English
  • Fluency in spoken and written Arabic
