Job opportunity for immediate hiring at a distinguished Fashion Corporation located in Amman, Jordan:
Qualifications:
• Proven admin or support experience
• Knowledge of office management systems and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to details and problem-solving skills
• Excellent written and verbal communication skills
• Proficient in MS Office
• Bachelor’s degree or equivalent; English proficiency certificate is a plus
Organizational Duties/ Functions:
1. Comply with Company’s Code of Conduct and work space etiquette.
2. The ability to read and follow directions. Reporting to department supervisor and/or operations manager.
3. Adherence to occupational health & safety regulations.
4. Maintaining a high-level of responsibility in regards to schedule adherence.
5. Work well under pressure and with change, have good communication skills and teamwork is necessary.
Fundamental Duties/ Functions:
1. Answer and direct phone calls. Provide general support to visitors.
2. Receive, sort and distribute the mail & cover the reception desk when required
3. Coordinate and schedule meetings and appointments at Company’s production facility.
4. Admit invoices and production orders to ERP & other required systems.
5. In charge of all new inputs & variants of the ERP system. Also Overseeing ERP.
6. Daily update of Monday CRM system, following Production orders & milestones.
7. Preparation of a weekly report that clarity’s the production facility’s status.
8. Save pictures & fabric swatches of new ordered materials. Take photos of each finished item of every production order.
9. Processing of online orders and liaising with warehouse and logistics to deliver items on time.
10. Order required supplies & materials.
11. In charge of all logistical activities (Local & International):
11.1. Following up with shipper.
11.2. Following up with clearing agent & customs.
11.3. Produce certificate of origin.
11.4. Create delivery notes & provide after sales support to customers.
12. Follow up on deliveries from and to clients, of: full orders, samples, size sets, and fabric swatches.
13. Take accurate minutes of meetings when needed.
