Administration & Finance Officer – Norwegian Church Aid Middle East, Amman


Norwegian Church Aid (NCA) is an International Non-Governmental Organization and member of the global ACT-Alliance. The organization implements both humanitarian and development programs in 20 countries around the world. In the Middle East, the programs are Water, Sanitation and Hygiene (WASH) and Gender-Based Violence (GBV) with an emphasis on psychosocial support.
In July 2016 NCA established an Area Office Middle East, responsible for the organization’s programs in Lebanon, Syria and North Iraq. For this office, NCA is recruiting an Administration & Finance Assistant.
The position will be located in Amman, Jordan, and will report to the Area Finance & Administration Coordinator.

Job description
  • Prepare bank, check and cash payments for suppliers, staff and government offices.
  • Maintain the cash-box and assist with developing expenditure reports and with securing all necessary supporting documentation and approvals prior to payment.
  • Support with budget development and monitoring.
  • Conduct bookings of bank transactions in NCA`s global accounting software.
  • Assist with monthly and annual closure of accounts.
  • Produce the monthly pay-roll for staff.
  • Follow-up, organize and reconcile all statutory obligatory tax and social security payments.
  • Maintain the personnel system and organize both electronic and paper-based archiving systems for all personnel documents including contracts with appendices, time-sheets, monthly location reports, and annual and sick leave.
  • Assist with administration related to recruitment and induction of new staff.
  • Follow-up office and apartment contracts and liaise with the owner and care-taker on any concern or issue.
  • Facilitate processes for work and residence permits for expatriates together with the driver/operations assistant.
  • Prepare procurements in accordance with NCA’s regulations.
  • Act as the secretary for the procurement committee and prepare supplier contracts for approval.
  • As delegated, organize hotels, transportation and meeting venues.
  • Higher education from a technical college or university on finance, accounting and/or administration.
  • Documented several years of practical experience with administrative tasks.
  • Experience with global accounting systems and financial reporting.
  • Exposure to Jordanian systems for social security, medical insurances and taxes.
  • Familiarity with preparations for auditing processes.
  • Experience from the non-profit sector is desirable.
  • Working knowledge of English and Arabic.
