A leading Medical & laboratories supplies company based in Amman is looking to recruit an office coordinator

Job Requirements

Degree in business or any other field related to the position
Proficient in MS Office
Practical experience in a similar position advantageous  
In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of healthcare industry
Strong time-management and organizational skills  
Ability to coordinate several tasks at the same time  
Outstanding communication
Integrity and confidentiality
Key Responsibilities

Attend meetings and keep minutes
Receive and screen phone calls and redirect them when appropriate
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
Make travel arrangements for executives
Handle confidential documents ensuring they remain secure
Prepare invoices or financial statements and provide assistance in bookkeeping
Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
Maintain electronic and paper records ensuring information is organized and easily accessible
Process orders with supplies and follow up closely the transit process and custom clearance until the goods delivered to customer sites
 

HR Responsibilities

Respond to internal and external HR related inquiries or requests and provide assistance
Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates etc.) in both paper and the database and ensure all employment requirements are met
Support the recruitment/hiring process by  sourcing candidates, performing  background checks, assisting in shortlisting, issuing employment contracts etc.
Perform orientations, onboarding and update records with new hires
Tender responsibilities

Clarification of tender bid conditions and management of the tender preparation  
Monitoring of the bid management in order to ensure it is aligned with the organization's requirements  
Prepare all tenders in accordance with client requirements and meeting deadlines
